Typical Accountabilities:
Provides high-level administrative support to senior leader. The PA may need to provide boarder support to a number of senior leaders when required.
Ensures comprehensive diary management to maximize efficiency and time management.
Arranges travel and accommodation.
Learns and applies AZ U.S. travel and expense claim policies in a compliant and timely manner
Coordinates internal and external meetings / conferences so that they run smoothly, including scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available
Sets up virtual meetings using Microsoft Teams or Zoom.
Prepares and tracks key documentation such as expenses, purchase orders
Work with other assistants in the office for senior leaders events/ engagement activities
Education, Qualifications, Skills and Experience:
At least 5 years demonstrated high level administrative support experience, including experience of supporting senior leaders
Experience of organizing complex meetings and complex diary management to accommodate global time zones
Maintains confidentiality and always deals discretely with sensitive information
Self-starter, able to prioritize own workload, work unsupervised and use own initiative to solve problems
Able to perform effectively under pressure, and demonstrate flexibility and adaptability to meet changing business demands
Focus on quality and attention to detail
Strong verbal and written communication skills in English and Mandarin
Positive personality with a proactive and service-oriented mindset
Proficiency in the Microsoft Office suite including advanced expertise in Teams, PowerPoint and Word
