Main responsibilities:
Admininstration Support
- Provide daily secretarial and administrative support to BU GM, arranges appointments, travel arrangement and expense reimbursement, e-expense approval, to ensure all applications guided in finance/ compliance/SOP
- In charge of BU GM’s daily admin matter, including monthly BU GM’s Itineraries, Air-ticket, hotel booking, budget application & reimbursement, etc.
- Understand finance/compliance /SOP and share to team
- Follow up on budget accruals and reimbursement overdue tracking as needed
Assist with BU Events and operations
- Coordinate business events planning, in particular management meetings, annual kick-off, etc.
- Ensure all meetings have proper minute documentation with actions, deadlines and responsible persons
- Follow up on meeting actions to ensure they are completed on time
- Organize the leadership group teambuilding activities
- Support BU GM‘s special project, and keep closely contact with BU GM's sub team
Cross function communication
- Serve as BU focal contact point to ensure the communication and cascading of cross functional initiatives
- Maintain and direct the key BU internal communication platforms
Other tasks/responsibilities assigned by BU GM
About you
What you should have?
- Minimum bachelor degree holder
- At least 3-5 years relevant work experiences in large multinational companies in administrative or secretarial roles
- Project coordination and management skill is preferred
- Good communication: able to clearly communicate objectives, get alignment and actively follow up
- Excellence command of both written and oral English & Mandarin
- Ability to keep critical BU information confidential
