About the Job

As the Chengdu Hub Operations Support, you’ll be supporting day-to-day operation of office administrative tasks for the hub management team ensuring smooth workflow and efficiency related to administration in alignment with Global and Local needs, strategies, and directions. You’ll be part of the Sanofi Business Operations, reporting to the Chengdu Hub Head based in China.

Main Responsibilities:

Operation

  • Support the Chengdu Hub Head in managing calendar, travel arrangements, expense submissions, meeting logistics, and other administrative tasks as assigned.
  • Manage and monitor day-to-day administrative operations and support special projects for the hub's management team.
  • Manage the Headcount, finance and IT related reports and coordination
  • Serve as primary point of contact for hub-wide events and meetings coordination including logistic arrangements, food and catering, space allocation, security etc.
  • Monitor budget including processing purchase orders, tracking expenditures, procurement of office supplies and services, as well as vendor management.
  • Assist in preparing and formatting various hub materials including presentations, reports, briefing kits, posters and other internal or external communications.
  • Collaborate across different functions to ensure effective delivery of operational support to the organization.
  • Support the Business Continuity/ Crisis Management Plan, as assigned
  • Work closely with other Administration/Support staff and teams to ensure the delivery of the goals.

Organizational

  • Demonstrate strong commitment while providing a welcoming environment for both internal and external stakeholders in a helpful, polite and professional manner.
  • Being a strong point of contact on Zoom/telephone to ensure all queries and issues are dealt with or escalated as appropriate.
  • Supports newcomer onboarding according to the functional directions.
  • Implement appropriate filing and documentation (digital or otherwise) and other office procedures to facilitate a highly organized and smooth functioning hub.
  • Manages e-mail distribution lists and business system access administration.
  • Support in drafting meeting minutes for team meetings and distributing the recorded actions and inputs to attendees in the meeting, as assigned.
  • Carry out any other general administration and assistant duties as required on behalf of Chengdu Hub Head and leadership team.

Engagement Support

  • Actively support the planning and maintenance of the hub's communications and engagement calendar, channels, events, and activities, while ensuring timely, enthusiastic support and execution.
  • Distribute hub related communications through appropriate channels in consultation with the Hub Engagement Partner.

 

About You

  • Bachelor’s degree with prior experience in a team support or administration capacity within a fast-paced environment.
  • Demonstrated organizational skills with strong proficiency in communication, and office tools and systems.
  • Attention to details and the ability to multi-task and deliver timely results.
  • Proactive, solution-oriented, creative and curious, with the agility to learn and grow. 
  • Absolute discretion in handling confidential information.
  • Strong team player who is self-motivated and able to multi-task under pressure.
  • Business fluent in English with good communication skills and the ability to build effective relationships with internal and external stakeholders.
