As the Chengdu Hub Operations Senior Specialist, you’ll be responsible for project management to support hub head to drive the hub strategy and development, providing transversal services to all business functions in the hub. You will also build the strong connection and collaboration with Kuala Lumpur and Chengdu hub for any joint initiatives or where cross-learning/ support is beneficial. And you will manage and support day-to-day operation of office administrative tasks for the Chengdu hub management team ensuring smooth workflow and efficiency related to administration in alignment with Global and Local needs, strategies, and directions.

This role is critical part of the Sanofi Business Operations, reporting to the Chengdu Hub Head based in China.

 

Main Responsibilities:

Business Operation

  • Develop & drive hub wide project plan(s) at the right level, identifying sequence of activities, durations, dependencies, milestones, deliverables, resources, etc and monitor and drive for actions.
  • Build strong connections between Chengdu and Kuala Lumpur hub, manage and support initiatives cross Hubs (KL and Chengdu) for the hub's management team, as assigned. 
  • Lead/ Manage/ Support workshops with relevant stakeholders, eg. Commercial, Manufacturing & Supply or Hub Operations teams, to drive efficiency, impact and value initiatives
  • Support Hub head to build innovation culture and set up cross functions learning and sharing forums.
  • Monitor and assist Chengdu Hub transition and change management activities to increase the employee’s adoption
  • Manage and monitor the day-to-day operation of office administrative tasks for the hub’s management team ensuring smooth workflow and efficiency related to administration.
  • Assist in preparing and formatting various hub materials including presentations, reports, briefing kits, posters and other internal or external communications.
  • Manage the Headcount, finance and IT related reports and coordination
  • Serve as primary point of contact for hub-wide events and meetings coordination including logistic arrangements, food and catering, space allocation, security, meeting minutes, and monitoring of action items.
  • Monitor budget including processing purchase orders, tracking expenditures, procurement of office supplies and services, as well as vendor management.
  • Collaborate across different functions to ensure effective delivery of operational support to the organization.
  • Support the Business Continuity/ Crisis Management Plan, as assigned

 

Organizational

  • Acting as delegation of Chengdu Hub head in case of absence.
  • Being a strong point of contact on Zoom/telephone to ensure all queries and issues are dealt with or escalated as appropriate.
  • Preparing agenda for Hub wide meetings and running it as expected, writing meeting minutes and distributing the actions and inputs to attendees, and tracking actions.
  • Working closely with operations specialist/lead in other hubs to drive consistency and standard practices in Business Operation.
  • Demonstrating strong commitment while providing a welcoming environment for both internal and external stakeholders in a helpful, polite and professional manner.
  • Implementing appropriate filing and documentation (digital or otherwise) and other office procedures to facilitate a highly organized and smooth functioning hub.
  • Carry out any general administration and assistant duties as required by Chengdu Hub Head.

 

Engagement Support

  • Working closely with Communications and Employee Engagement partner, facilitate and drive hub wide stakeholder visits and local events both internal and external as required.

 

About You

  • 8+ years’ working experience
  • Bachelor’s degree with rich practice in project management and general administration experience within a fast-paced environment.
  • Demonstrated agile, organizational skills with strong proficiency in English communication, and office tools and systems.
  • Good stakeholder management skills, ability to build effective relationships with internal and external stakeholders.
  • Experience in Change Management methodologies with demonstrated experience in incorporating Change Management practices into project planning
  • Attention to details and the ability to multi-task and deliver timely results.
  • Proactive, solution-oriented, creative and curious, with the agility to learn and grow. 
  • Absolute discretion in handling confidential information.
  • Strong team player who is self-motivated and able to deal with pressure.
